Accessing Project Tracking Sheets
All projects are listed alphabetically by the City department that is responsible for the project. Click on the department and then the project name to open the project tracking sheet.
Use the twistie icons , , to expand or collapse the view.
After opening a sheet, select ‘Return to City Project List’ to exit the sheet and return to the list of departments.
The name, e-mail address and direct phone number of the project manager appears next to the project name. Select the project manager’s e-mail address to compose and send a message.
Reading Project Tracking Sheets
Each field of the project tracking sheet is explained below. Please contact the assigned project manager if you have any questions about a project.
Description: This is a brief description of the project, including the purpose, impact on the community and desired final product.
Mayor & Council Vision Priority: Each project is intended to move the City closer to the Mayor & Council’s vision for Rockville in 2020. This part of the project sheets shows the vision priority that the project addresses.
Date Modified: Project managers continually update the information in the project sheets as work on the project progresses. The Date Modified entry indicates the last time that the information in the project sheet was changed. Updated project information is tranfered to this web site on the 1st and 15th of each month.
Project Status: The Project Status entry can read ‘Open’, ‘Completed’, or ‘On Hold’. Projects that are ‘Open’ are in progress. After a project is completed the entry will be changed to ‘Completed.’ If the City is not actively working on a project, the project status will read 'On Hold'.
Project Manager: The project manager is the City staff person responsible for managing the project, leading the team assigned to the project, and maintaining the project tracking sheet.
Mayor and Council Action: A ‘Y‘ in the column indicates that completing the Task or Milestone involves the Mayor and Council. The symbol allows the project manager to highlight the parts of the project that require decision making, action, or other involvement by the Mayor and Council. A’-‘ in the column means that the task does not involve Mayor and Council action.
Public Involvement: A ‘Y’ in the column indicates that completing the Task or Milestone involves public participation. The symbol allows the project manager to highlight those tasks to help the Mayor & Council and the public know when the public has a role in the project, such as an opportunity to comment at a public hearing. A ‘-‘ in the column indicates that there is no formal public involvement at that stage of the project.
Tasks and Milestones: These are the distinct steps involved in completing the project. They are numbered and associated with start and end dates.
Planned, Revised, Actual START Dates: These dates indicate the start of each task or milestone. Project managers insert the date that they plan to start a task in the ‘Planned’ column. If that date changes as work progresses, the project manager inserts a revised start date for the task in the ‘Revised’ column. The date that the task actually starts is inserted in the ‘Actual’ column.
Planned, Revised, Actual END Dates: These dates indicate the end of each task or milestone. Project managers insert the date that they plan to complete a task in the ‘Planned’ column. If that date changes as work progresses, the project manager inserts a revised end date for the task in the ‘Revised’ column. The date that the task actually ends is inserted in the ‘Actual’ column.
Printing Project Tracking Sheets
When viewing a project tracking sheet, go to the top menu bar on the screen and select ‘File’, then ‘Print.’ Printing in the landscape orientation produces the best results. Refer to your specific printer for instructions on how to print in landscape.
